This Privacy Policy explains how Clear Path Solutions (“we”, “us”, “our”) collects, uses, and protects information through our website at clearpathsolutions.ca. We are committed to protecting your privacy and to complying with applicable Canadian federal and Ontario provincial privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and the Personal Health Information Protection Act, 2004 (PHIPA).
Important: this policy applies to website visitors only
Clear Path Solutions provides regulated psychological and psychotherapy services. Personal health information collected during therapy — including assessments, session notes, treatment plans, correspondence with your clinician, and anything you share in a clinical context — is governed by separate professional confidentiality obligations under PHIPA and the standards of practice of the College of Psychologists and Behaviour Analysts of Ontario (CPBAO) and the College of Registered Psychotherapists of Ontario (CRPO).
This website Privacy Policy applies only to information we collect from visitors to our website. If you become a client, your clinician will provide a separate Informed Consent and Confidentiality agreement that governs your clinical record.

What information we collect on this website
Contact form submissions
When you submit our contact form, we collect:
- Your name
- Your email address
- Your phone number (optional)
- The content of your message
- The date and time of submission
- Technical metadata associated with the submission (IP address, browser user agent, referring page)
If you arrived at our site by clicking on a Google Ad, the form may also capture an advertising click identifier (such as a GCLID, GBRAID, or WBRAID) so that we can measure ad performance and report conversions back to Google Ads. These identifiers are tied to the ad click and do not, by themselves, identify you personally.
We use the Contact Form 7 plugin to process submissions. Submitted messages are stored in our WordPress database (via the Flamingo plugin) and forwarded to queries@clearpathsolutions.ca, where they are received in our standard email system.
Spam and bot protection
To prevent spam and automated abuse, our contact form uses Cloudflare Turnstile. Turnstile may collect technical signals (browser characteristics, IP address, behavioural signals) to assess whether a submission is from a human. This data is processed by Cloudflare under their privacy policy: https://www.cloudflare.com/privacypolicy/.
Website analytics
We use Google Analytics 4, deployed via Google Tag Manager, to understand how visitors use our website. Analytics may collect:
- Pages viewed and time spent on each page
- Approximate location (city or region, derived from IP)
- Device, browser, and operating system
- Referring website
- A pseudonymous device identifier stored in cookies
This information is used in aggregate to improve the website. It does not directly identify you. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on at https://tools.google.com/dlpage/gaoptout.
Advertising and conversion tracking
We run advertising on Google Ads. When you arrive on our site from a Google Ad and submit our contact form, we may report the conversion back to Google Ads. This helps us understand which ads bring in genuine inquiries and stop spending on those that don’t.
Google may also set cookies for advertising and remarketing purposes when you visit our site. You can manage your Google ad preferences at https://adssettings.google.com.
Server logs and security
Our hosting provider and our security plugin (Wordfence) maintain logs of website activity, including IP addresses, pages requested, date and time of access, browser user agent, and failed login attempts or other potentially malicious activity. These logs are retained for security and diagnostic purposes.
Cookies
Our website uses cookies for the following purposes:
- Strictly necessary cookies — required for the website to function (for example, security tokens, form state, load balancing).
- Analytics cookies — set by Google Analytics to distinguish unique visitors and measure how the site is used.
- Advertising cookies — set by Google Ads to measure ad performance and enable remarketing.
You can control or disable cookies in your browser settings. Disabling some cookies may affect site functionality.
Embedded content from other websites
Our pages may include embedded content (videos, maps, social media posts) from other websites. Embedded content behaves as if you had visited the other website directly. These third parties may collect data about you, set cookies, and track your interaction with the embedded content. We do not control these third parties.
What we do not collect on this website
We do not collect, through this website:
- Health information or symptoms
- Insurance information
- Diagnostic information
- Session content
- Payment information
We ask that you do not include sensitive health details in our contact form. A short message describing what you are looking for is enough — the rest belongs in a confidential conversation with your clinician.
If you become a client, your clinician will collect health and administrative information separately. That information is held in your clinical record under PHIPA, not under this website Privacy Policy.
How we use information collected on this website
We use the information described above to:
- Respond to your inquiries and book consultations
- Operate, maintain, and improve our website
- Measure the effectiveness of our marketing
- Protect the website from abuse, fraud, and security threats
- Comply with our legal and professional obligations
We do not sell or rent personal information.
Who we share your information with
We share information only with service providers who help us operate the website and our practice, and only to the extent necessary for those services. These include:
- Google LLC — analytics (Google Analytics 4) and advertising (Google Ads), deployed via Google Tag Manager
- Cloudflare, Inc. — bot protection (Turnstile), and security and content-delivery services where applicable
- Defiant, Inc. (Wordfence) — website security and firewall
- Our website hosting provider — for storage and delivery of website content
- Our email service provider — for receiving and responding to messages submitted through our contact form
Some of these providers are based in the United States. Information transferred to these providers may be processed and stored outside Canada and may be subject to the laws of those jurisdictions, including lawful access by foreign government authorities. We rely on the contractual and technical safeguards offered by these providers to protect your information.
We may also disclose information if required by law, by court order, by professional regulatory obligation, or where necessary to protect the safety of our clients, staff, or others.
How long we retain information
- Contact form submissions: retained for up to 24 months from receipt, unless we need to keep them longer to provide ongoing service or to comply with a legal obligation. If you become a client, any clinically relevant communication is moved into your clinical record and governed by professional record-keeping rules.
- Server and security logs: typically retained for 30 to 180 days, depending on the system.
- Analytics data: retained according to our Google Analytics configuration (default 14 months).
- Cookies: retention varies by cookie type. You can view or delete cookies through your browser settings at any time.
How we protect information
We take reasonable technical and organizational measures to protect information collected through this website, including:
- Encryption of website traffic using HTTPS/TLS
- Cloudflare protection against denial-of-service and bot attacks
- Wordfence firewall and malware scanning
- Restricted administrative access to our website
- Regular software updates and backups
No system can be guaranteed completely secure. If we become aware of a privacy breach affecting your personal information, we will take steps to contain and remediate the breach, notify affected individuals where required, and report the breach to the appropriate regulatory authority where required by law.
Your rights
Under PIPEDA and applicable Ontario law, you have the right to:
- Access the personal information we hold about you in connection with this website
- Correct information that is inaccurate or out of date
- Withdraw any consent you have previously given (subject to legal and contractual restrictions)
- Make a complaint if you believe your privacy rights have been violated
To exercise these rights, please contact us at queries@clearpathsolutions.ca. We will respond within 30 days.
If you are a current or former therapy client and your request relates to your clinical record, please contact your clinician directly. Clinical records are governed by PHIPA and the records-retention rules of the relevant regulatory college (CPBAO or CRPO), not by this website Privacy Policy.
Children’s privacy
This website is intended for adults seeking information about our services. We do not knowingly collect personal information from children under 16 through the website. If you believe a child has submitted information to us, please contact us so we can delete it.
